Committee Chair Duties

In order to survive, any non-profit organization or society must rely on its members to volunteer for offices and committee chairs.
Below you will find a list and description of the various ways to volunteer.
The first six are elected positions. If you are interested in any of the opportunities, contact the person currently holding that position as laid out in the current year’s listing of PRS Board of Directors and Committee Chairs, which can be found here.

The President presides at all meetings and signs all documents executed on behalf of the society and performs such other duties as directed by the Board of Directors.

The First Vice-President, in the absence of the president, acts in place of the President.
The First Vice-President also acts as chair of the spring rose show.

The Second Vice-President, in the absence of the First Vice-President, acts in place of the First Vice-President.
The Second Vice-President also acts as chair of the summer all Mini Rose Show and Fall Rose Show, and conducts pruning clinics at various nurseries in our area.
The Second Vice-President performs such other duties as designated by the President.

The Corresponding Secretary gives notice of meetings of the society and of its Board of Directors, and keeps the minutes of such meetings.
The Corresponding Secretary conducts the correspondence and keeps the minutes and general records of the society.

The Treasurer receives and receipts for all moneys, keeps the accounts of the society, has custody of all funds and deposits the same in such depositories as may be designated by the Board of Directors.
The Treasurer pays all bills incurred on behalf of the society. Checks upon the bank account of this society shall be signed either by the Treasurer or by the President. In the event that the check amount is in excess of $1000.00, both officers must sign.
Accounts and records of the treasurer shall be reviewed annually by the Finance Committee.

Committee Chair Duties
ROSE CHATTER NEWSLETTER EDITORS- Create and send out PRS newsletter. Some experience is needed for this position.
PRODUCT SALES- Sell fertilizer. Volunteers can help with sales at membership meetings
LIBRARIAN- Runs book and puzzle exchange at Membership meetings
MEMBERS AT LARGE- Members interested in the board and/or committees, serves on the Board of Directors.
PROGRAMS- Invites speakers for general meetings. Appointed by President. It can be one year or can be ongoing. Can volunteer for this position.
ATTIRE- Takes merchandise orders and sells inventory of PRS logo products at membership meetings.
PROPERTIES- Rent truck and load with rose show properties from the storage shed and deliver to shows (3) at end of show break down the show and load properties on truck and deliver back to shed. Develop and maintain a list of volunteers to help with the loading, unloading, breakdown, and driving rental truck. (Rental truck is not typically needed for Mini Show.)
COMMUNICATIONS- MONITOR Phone calls and emails. Implements any PRS internal communications to members. Direct callers to people that can answer various questions.
GOLD AWARD GARDEN JUDGING- Maintain a list of ten judges from PRS to pick the roses to be planted in the Gold Award Garden.
GOLD AWARD GARDEN MAINTENANCE- Deadheading, weeding, and general cleaning. The head of this committee would develop and maintain a list of volunteers.
HOSPITALITY- Provide refreshments at general meetings (baked goods etc.) Sign up at membership meetings.
OUTREACH- Arrange for PRS outreach & education at various public venues such as Garden Shows & Markets.
ROSE SHOW CLERKS- Develop and maintain a list of volunteer rose show clerks. Clerks work alongside judging teams, putting ribbons on entries, and taking trophy-winning entries to the recording table.
